Booking & Payment
Reservation and Deposit
A non-refundable deposit of five hundred U.S. dollars ($500) per traveler is required to reserve a traveler's space on a trip, unless a different deposit amount is stated in the applicable trip-specific materials. The payment schedule and final payment due date will be listed on the applicable trip page, invoice, or registration materials. A traveler's reservation is not confirmed until the required deposit and/or initial payment listed for the applicable trip has been received.
Accepted Payment Methods & Currency
Soulstice Travel Club may accept payment through third-party payment processors such as Stripe and PayPal, as made available at the time of booking. Additional payment methods may be accepted only if approved by Soulstice Travel Club in writing. Unless otherwise stated, all payments must be made in U.S. Dollars.
Installment Payments
If a traveler selects or is offered a payment plan, all payments must be made according to the schedule provided for the trip. It is the traveler's responsibility to remain current on all scheduled payments.
Late or Missed Payments
If a traveler misses a scheduled payment, Soulstice Travel Club may send notice by email that the payment is overdue. If the overdue payment is not received within seven (7) days after that notice is sent, Soulstice Travel Club reserves the right to cancel the traveler's reservation.
If a reservation is canceled due to nonpayment, the traveler's non-refundable deposit will be forfeited. Any additional refund, if any, will be determined according to the cancellation terms stated on the applicable trip page, invoice, or registration materials.
Final Payment
Unless otherwise stated in the applicable trip-specific materials, final payment is due no later than ninety (90) days before the trip departure date. Final payment must be received by the final payment due date listed for the trip. If final payment is not received by that date, Soulstice Travel Club may, in its discretion, offer a short grace period or cancel the traveler's reservation.
If a reservation is canceled due to nonpayment of the final balance, the traveler's refund eligibility, if any, will be determined according to the cancellation terms stated on the applicable trip page, invoice, or registration materials.
Cancellation
Cancellation by the Traveler
All cancellation requests by a traveler must be made in writing by email to soulsticetravelclub@gmail.com. Cancellation requests made by phone, text message, social media message, or verbally will not be accepted as notice of cancellation. The effective date of cancellation will be the date the written notice is received by Soulstice Travel Club.
Cancellation terms, including applicable refund eligibility, payment deadlines, and any non-refundable amounts, may vary by trip and will be stated on the applicable trip page, invoice, registration materials, or other trip-specific booking documents. Travelers are responsible for reviewing the cancellation terms associated with their specific trip before booking.
In the event of any inconsistency between these general policies and the trip-specific cancellation terms, the trip-specific cancellation terms shall control for that departure.
Unless otherwise stated in the applicable trip-specific materials, deposits are non-refundable.
Refunds for any amounts paid directly to third-party suppliers are subject to those suppliers' own terms and policies, regardless of the traveler's cancellation date. Any airline penalties, fare differences, change fees, or other carrier-imposed costs are the sole responsibility of the traveler.
Soulstice Travel Club reserves the right, but not the obligation, to make exceptions to these policies in its sole discretion.
Standard Cancellation Schedule
Unless a different schedule is stated in the applicable trip-specific materials, the following cancellation schedule applies. All days are calendar days counted before the first day of the trip.
Deposit: The $500 deposit is non-refundable at all times, regardless of the cancellation date.
Cancellation >91+days before departure: No refunds will be issued. All amounts paid as of the effective date of cancellation, including the deposit and any installment payments, are non-refundable.
Cancellation <90 days before departure: Soulstice Travel Club will refund the amounts the traveler has paid, including any installment payments, less (a) the $500 non-refundable deposit, (b) a $150 administrative fee, and (c) any non-recoverable funds, as defined below.
Non-recoverable funds means any amounts that Soulstice Travel Club has paid, or is contractually committed to pay, to hotels, destination management companies, guides, transportation providers, activity operators, airlines, or other suppliers on the traveler's behalf that Soulstice Travel Club is unable to recover after making reasonable efforts, together with any non-refundable payment processing fees.
All refund determinations, including the calculation of non-recoverable funds, will be made by Soulstice Travel Club in its reasonable discretion based on the supplier terms in effect for the applicable trip. Any approved refund will be issued to the original form of payment within thirty (30) days after Soulstice Travel Club determines the recoverable amount.
Reservations are non-transferable. A traveler may not transfer or assign their reservation to another person.
Components Purchased on the Traveler's Behalf
If Soulstice Travel Club purchases airfare or holds other trip components on a traveler's behalf, those components are non-refundable once ticketed or confirmed, except to the extent the applicable supplier issues a refund or credit to Soulstice Travel Club.
Cancellation by Soulstice Travel Club
On rare occasions, Soulstice Travel Club may need to cancel a trip due to insufficient participation, supplier issues, safety concerns, force majeure events, or other circumstances outside its reasonable control.
If Soulstice Travel Club cancels a trip for insufficient participation or for reasons within its reasonable control, all amounts paid directly to Soulstice Travel Club for the canceled trip will be refunded to the traveler. If a trip is canceled or materially changed due to a force majeure event (described below), Soulstice Travel Club will, at its election, refund the amounts it is able to recover from suppliers or issue a credit toward a future Soulstice Travel Club trip. Soulstice Travel Club is not responsible for non-refundable expenses booked independently by the traveler, including airfare, travel insurance, visas, vaccinations, transportation not booked through Soulstice Travel Club, or other third-party arrangements.
Minimum Participation
Each trip requires a minimum number of confirmed travelers, which will be stated in the applicable trip-specific materials. If the minimum is not met by the date stated in those materials, Soulstice Travel Club may cancel the trip, adjust the trip price with notice to travelers (who may then cancel for a full refund of amounts paid to Soulstice Travel Club), or proceed with the trip at its discretion.
Force Majeure and Trip Disruptions
Soulstice Travel Club is not liable for any failure or delay in performance, cancellation, or change to a trip caused by events beyond its reasonable control, including natural disasters, severe weather, epidemics or pandemics, public health orders, government actions or travel advisories, war, terrorism, civil unrest, strikes, airline or supplier failures, and similar events (each, a "force majeure event").
If a force majeure event disrupts a trip that is already underway, Soulstice Travel Club will make reasonable efforts to arrange alternative services. Additional costs resulting from the disruption, such as extra accommodation nights, meals, rerouted flights, or early return travel, are the responsibility of the traveler and may be recoverable through the traveler's travel insurance.
No Refund for Unused Services
No refund will be given for any unused portion of a trip, including unused accommodations, meals, transfers, activities, or other included services, when a traveler voluntarily leaves a trip early, arrives late, departs early, chooses not to participate in included activities, or is removed from the trip due to behavior, safety, or inability to meet the stated physical requirements of the itinerary.
Trip Details & Traveler Responsibilities
What Is Not Included
Unless specifically stated otherwise in the applicable itinerary, trip cost does not include:
round-trip airfare, departure taxes, or checked baggage fees
passport fees, visa fees, or visa photographs
personal purchases such as souvenirs, laundry, alcoholic beverages, or incidental expenses
Tips and incidentals
Additional room charge fees i.e., mini bar
expenses incurred in making individual travel arrangements related to the trip
any other items not specifically mentioned in the itinerary
Traveler Eligibility and Required Information
Travelers must be at least twenty-one (21) years of age, consistent with the community Soulstice Travel Club trips are designed for, unless otherwise expressly permitted in writing by Soulstice Travel Club.
Travelers may be required to provide certain information necessary for participation in the trip, including contact information, passport details, emergency contact information, dietary information, health or medication information voluntarily provided by the traveler, and flight details when applicable.
Passport and Travel Documents
Travelers are responsible for ensuring that they have a valid passport and any other required travel documents for the trip. Unless otherwise stated, passports should be valid for at least six (6) months beyond the trip end date.
If updated passport information is requested, the traveler must provide it by the stated deadline. If a traveler is unable to participate in a trip because of passport expiration, missing documents, or failure to satisfy entry requirements, any refund will be governed by the cancellation terms in effect as of the date of withdrawal or cancellation.
Traveler Health, Mobility, and Activity Level
Travelers are responsible for reviewing the trip itinerary and determining whether they are physically able to participate. Some trips may involve extended walking, stairs, uneven terrain, carrying personal belongings, heat, weather exposure, or other physical demands.
At this time, Soulstice Travel Club may not be able to provide individualized mobility assistance, medical care, or personal-care support. Travelers who require such support are responsible for arranging it themselves.
Arrival, Transfers, and Delays
Travelers are responsible for allowing enough time to deplane, collect luggage, clear any required procedures, and reach the designated meeting point on time.
Soulstice Travel Club will not delay the departure of a group for travelers who arrive after the designated start time listed in the itinerary.
Travelers are responsible for promptly notifying Soulstice Travel Club of flight changes, delays, or travel disruptions and for staying in communication regarding their anticipated arrival time.
If a traveler misses an included transfer or arrives after the last scheduled transfer, the traveler is responsible for joining the group at the traveler's own expense, unless otherwise agreed in writing.
If included transfers are offered and a traveler chooses alternate transportation for personal reasons, that cost will not be reimbursed.
Itinerary Changes
Soulstice Travel Club reserves the right to make reasonable changes to the itinerary, accommodations, transportation, activities, guides, or trip timing when necessary due to availability, safety, local conditions, operational needs, weather, or other circumstances outside its reasonable control. Any substitute arrangements will be made in good faith and, when possible, will be of comparable value.
Room Sharing
If shared accommodations are offered for a particular trip, roommate assignments will be handled in the manner described in the itinerary or registration materials. After the final payment deadline, changes to room type or occupancy may not be possible.
Travel Insurance
Travel insurance is required for participation in all Soulstice Travel Club trips, unless otherwise stated in the applicable trip-specific materials. At a minimum, each traveler's policy must include trip cancellation and interruption, emergency medical, and emergency medical evacuation coverage for the full duration of the trip. Cancel For Any Reason (CFAR) coverage is strongly recommended. Travelers must provide the name of their insurance provider and their policy number by the final payment due date. Soulstice Travel Club does not sell or provide insurance and cannot advise on specific policies. A traveler who does not provide proof of the required coverage may not be permitted to participate, and any resulting cancellation will be subject to the applicable cancellation terms.
Photography and Media
We may take photos or videos during the trip for promotional, marketing, or educational purposes. Travelers may opt out of being featured in identifiable promotional images by notifying Soulstice Travel Club in writing before the trip begins.
Traveler Conduct
Soulstice Travel Club trips are built on respect, safety, and community. Soulstice Travel Club, its trip leaders, and its local guides reserve the right, in their sole discretion, to remove any traveler from a trip, or from any part of a trip, whose behavior is disruptive, unsafe, illegal, abusive, harassing, or materially interferes with the enjoyment, safety, or well-being of others. Examples include, without limitation:
excessive alcohol consumption or intoxication that affects the traveler's safety, the safety of others, or the group's experience
possession or use of illegal drugs or controlled substances
violence, threats, harassment, bullying, or discriminatory conduct toward fellow travelers, staff, guides, suppliers, or local communities
unsafe acts that endanger the traveler or others, including disregarding the safety instructions of trip leaders, guides, or suppliers
violating local laws, or repeatedly disregarding local customs or group guidelines after being asked to stop
damaging or destroying property
Where practical, Soulstice Travel Club will give a traveler a warning before removal; however, serious or dangerous conduct may result in immediate removal without warning. A traveler who is removed will not receive a refund for any unused portion of the trip and is solely responsible for all costs resulting from the removal, including alternative accommodations, transportation, and return travel home, as well as any damages caused by the traveler's conduct. Once removed, the traveler is no longer under the care of Soulstice Travel Club, and Soulstice Travel Club has no further obligations to that traveler for the remainder of the trip.
Travelers who choose to consume alcohol are expected to do so responsibly and in accordance with local laws.
Risk & Responsibility
Assumption of Risk
Travel involves risks that may include, without limitation, accidents, illness, injury, transportation delays, political or social instability, weather conditions, natural events, criminal acts, food-related illness, physical exertion, and other known or unknown risks.
By participating in a trip, the traveler acknowledges these inherent risks and voluntarily chooses to participate.
Limitation of Responsibility
Soulstice Travel Club acts as an organizer of travel experiences and may engage independent third-party suppliers, including hotels, transportation providers, activity operators, local guides, and other service providers.
Soulstice Travel Club is not responsible for the acts, errors, omissions, negligence, delays, cancellations, failures, or defaults of any independent third-party supplier.
Soulstice Travel Club is not responsible for injuries, damages, delays, or losses arising from terrorist activities, social or labor unrest, mechanical failures, construction issues, disease, local laws, governmental actions, climatic conditions, abnormal conditions or developments, or any other acts, omissions, or circumstances outside Soulstice Travel Club's reasonable control.
Third-Party Suppliers
Soulstice Travel Club makes arrangements with independent third-party suppliers and cannot guarantee the performance of those suppliers or that all elements of a trip will occur exactly as originally planned.
Traveler Responsibility for Personal Conduct
The traveler is responsible for losses or damages caused by the traveler's own negligent, reckless, unlawful, or intentionally harmful conduct during the trip.
These provisions describe Soulstice Travel Club's general allocation of risk and responsibility for the booking relationship. They do not replace, and are not a substitute for, the separate Travel Risk Acknowledgment, Assumption of Risk, and Liability Waiver that each traveler signs before participating in a trip, which contains the operative release of legal claims.
